About the Role \:
The Executive Office of Health and Human Services (EOHHS) is seeking an IT Project Coordinator to support the EOHHS IT Executive Management Office. This role provides administrative, operational, and project support across IT operations, HR coordination, onboarding and offboarding, facilities, and PMO activities. Strong communication, organization, and the ability to manage multiple priorities are essential.
Key Responsibilities include administrative support for daily IT operations and executive leadership, project coordination including scheduling, research, data collection, and preparing reports and presentations, HR and onboarding/offboarding support including training managers on required procedures, Facilities coordination across EHS IT offices, support for ad hoc initiatives such as operational planning, training, and government award submissions.

Schedule\: Hybrid; MondayFriday, 9\:00 AM5\:00 PM (subject to operational needs)
This position is expected to follow a hybrid model of reporting to work that combines in-office workdays and work from home days as needed. The Project Coordinator is expected to occasionally travel to different Boston//Wakefield/Quincy office locations.
Responsibilities \:
Project Coordination & Support
- Coordinate project activities across assigned initiatives and assist in resolving issues or risks.
- Collaborate with business analysts and business owners to clarify project scope, objectives, and requirements.
- Prepare supply and procurement requests with complete supporting documentation.
- Enter, track, and maintain project documentation in agency systems.
- Review project schedules and milestone dates with stakeholders.
- Develop and maintain project materials, including charters, scopes, plans, backlogs, user stories, status reports, and operational checklists.
- Support testing activities, including test plans, user acceptance testing, and defect tracking.
- Monitor project budgets, invoices, and resource allocations.
- Ensure compliance with agency IT policies, security standards, and data governance requirements.
Administrative & Executive Support
- Provide daily administrative and operational support to the IT Executive Management Office.
- Coordinate missioncritical activities and respond to requests from IT leadership and Staff.
- Conduct research, run queries, analyze data, and prepare consolidated reports, charts, and graphs.
- Prepare presentations, correspondence, spreadsheets, and documentation for senior executives.
- Organize weekly meetings, including agendas, presentations, logistics, and followup actions.
- Support initiatives related to HR, operational planning, training, and awards programs.
- Maintain a professional, organized, and serviceoriented environment within the SCIO office.
- Manage central IT office supplies and ensure availability of materials.
- Assist with planning and coordination of offsite Executive Management meetings and events.
- Maintain shared tools, dashboards, and repositories used for tracking work.
- Facilitate communication among technical staff, business users, and external vendors.
Onboarding & Offboarding
- Coordinate ID badges, building access, parking, fitness waivers, and network access for new and departing staff.
- Partner with Desktop, Security, Asset Management, IT Operations, Facilities, Directors/ACIOs, and other agencies to ensure accurate processing of hires, terminations, and transfers.
- Mentor Points of Contact within each Director/ACIO group to ensure consistent onboarding/offboarding practices.
- Manage hoteling and hybrid workspace assignments across EHS IT offices, maintaining accurate staffing and space utilization records.
- Address daytoday facilities issues and serve as liaison to EHS Facilities on safety matters.
- Educate staff on EOHHS office policies and provide courteous, responsive support to all IT personnel.
Documentation & Compliance
- Submit accurate and timely documentation into agency systems.
- Maintain operational checklists, logs, and administrative records.
- Ensure adherence to agency policies, confidentiality requirements, and administrative standards.

Work at Home/Remote Requirements\:
Must ensure designated work area is free from distractions during work hours and virtual meetings. Must provide a high-speed, uninterrupted modem for a remote workspace.
Preferred Qualifications \:
- Strong organizational skills and ability to manage multiple tasks in a fastpaced environment.
- Effective written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Ability to work independently on routine tasks with minimal supervision.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Access, Visio); Power BI or Adobe tools preferred.
- General understanding of IT processes or technology concepts.
- Strong teamwork skills and ability to recommend process improvements.
Qualifications acquired on the job
- Knowledge of EOHHS administrative processes, systems, and documentation standards.
- Familiarity with EOHHS onboarding/offboarding workflows and facilities procedures.
- Understanding of IT Executive Management operations and priorities.
Licenses and Certifications
None required; administrative or project management coursework or certifications are beneficial.

Minimum Entrance Requirements\:
Applicants must have at least (A) one (1) year of full-time or equivalent part-time, professional, or practical experience in information technology project management or (B) any equivalent combination of the required experience and the substitutions below.

Salary placement is determined by a combination of factors, including the candidates years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Divisions Hiring Guidelines.
